360 Athletics Dealer Portal
We built 360 Athletics a custom dealer portal for their wholesale and distribution business, handling dealer pricing, backorders, purchase orders, and a full medical-device rental operation, all wired into their legacy ERP.

The problem we set out to solve
Dealers and wholesalers don't transact like retail customers. They buy on payment terms, at negotiated price tiers, with discount groups that are far more involved than simple percentage cuts, and those groups can change at any time. 360 Athletics also runs a medical-device rental business: cryotherapy units rented not to the public but to clinics and physicians, who place orders through the same channel for use with their patients. None of this fits a standard storefront, and there was no system built to support how the business actually works.
Before
- Dealers and wholesalers buy on payment terms and tiered pricing. Nothing like a retail checkout.
- Discount groups are complex, non-linear, and can change at any time.
- Backorder stock couldn't be sold while stock status was tied to on-hand inventory count.
- The cryotherapy-rental business has its own contracts, extensions, and compliance rules with no software to support them.
The Objective
Build software around how 360 Athletics actually does business. Dealer ordering, complex pricing, backorders, and medical-device rentals, instead of forcing the business to fit a generic platform.
The solution, part by part

An ordering experience built for wholesale
Dealers and wholesalers don't shop like retail customers. They buy on payment terms, at negotiated price tiers, with discount groups that are anything but simple percentages and can change at any time. The portal handles all of it. Dealers see their own pricing, discover new products, pull spec sheets and product information, and place purchase orders in a few clicks. We also decoupled stock status from inventory count, so 360 Athletics can sell backorder items that aren't on hand yet but are on their way.
- Dealer-specific tiered pricing and discount groups
- Payment-term ordering, not retail checkout
- Product discovery, spec sheets, and documentation
- Backorder support — stock status decoupled from on-hand count

A medical-rental operation with its own rules
360 Athletics also rents cryotherapy devices but not to retail customers. Clinics and physicians rent the devices and place their orders through the portal for use with their patients. This side of the business runs on logic all its own: custom rental flows, contract management, and self-service extensions clinics can trigger themselves at any time. Automated emails keep everyone informed. Shipping updates and device-operation guidance for the end user, order confirmations for the clinic, and rental-return reminders before a contract is due.
- Rentals scoped to clinics and physicians, not retail
- One-click rental-contract extensions for clinics
- Automated shipping, operating, and return-reminder emails
- Order notifications tailored to clinics and practitioners

Linking extensions to contracts and to Adagio
Every order and every rental extension is converted into the appropriate EDI document and imported into Adagio, their legacy ERP. Because Adagio treats each rental and each extension as a separate order, we built order-numbering logic that ties every extension back to its original order, and that original order acts as the contract. In the admin dashboard, opening a contract surfaces all of its extension orders in one place, so staff always see the full history at a glance.
- Orders and extensions auto-converted to EDI for Adagio
- Custom order-numbering logic links extensions to contracts
- The original order acts as the master rental contract
- Admins see every extension under its contract

Compliance and control, built in
The rental business carries regulatory obligations, so we built the tracking straight into the admin portal: confirming a device is cleaned on return, recording damage, and keeping the paper trail intact. Admins can also attach new documents to any automated notification before it goes out, so the right spec sheet, instruction, or form reaches the customer along with the email.
- Device-cleaning confirmation on return
- Damage tracking and regulatory record-keeping
- Attach documents to automated emails before they send
- Full rental history and contract oversight
The technology, and why we chose it
Every tool here earned its place. The point isn't the logos — it's the reasoning behind them.
Runs the dealer portal, the rental engine, and the admin dashboard in one application.
Manages products, spec sheets, and content so 360 Athletics can keep the catalog current themselves.
A type-safe data layer for dealers, pricing tiers, orders, and rental contracts.
A relational database suited to the complex pricing and contract relationships behind the portal.
Type safety across intricate pricing, backorder, and rental-contract logic.
Delivers the transactional emails (shipping, device operation, and rental reminders), reliably.
Durable storage for spec sheets, device documents, and order attachments.
Converts every order and extension into documents Adagio can import.
The existing ERP and system of record stays in place and the portal now integrates with it.
A fast, consistent UI across the dealer and admin experiences.
What changed for the business
- ~70%
- Faster dealer order placement
- 0
- Manual order entry into Adagio
- Self-serve
- Clinic rental extensions
360 Athletics now runs its wholesale and rental business on software shaped to fit it. Dealers order on their own terms and pricing, backorder stock sells freely, and clinics manage rental contracts and extensions themselves. Every order and extension flows into Adagio as EDI, and the admin side keeps compliance, documents, and contract history under control.
Dealer pricing, tiers and complex discount groups were managed and quoted by hand.
Tiered pricing and discount groups are applied automatically for every dealer.
Backorder items couldn't be sold while stock status was tied to on-hand count.
Stock status is decoupled from inventory, so dealers can order stock that's on its way.
Rental extensions and contract changes meant phone calls and manual paperwork.
Clinics extend a rental contract themselves, in a single click.
Every order and extension was re-keyed into Adagio.
Orders and extensions convert to EDI and import into Adagio automatically.
360 Athletics doesn't run a standard storefront. It runs a wholesale, dealer, and medical-rental business, each with its own rules. The easy path would have been to bend those rules to fit an off-the-shelf platform. We did the opposite and built the software around the business: dealer terms, tiered pricing, backorders, rental contracts, and compliance tracking all work the way 360 Athletics works. That's what custom software is actually for.
Let's build something that performs.
